Plan a School Group Visit

Plan a School Group Visit

The best visits are those that are well planned in advance. In this section, you will find guidelines, tips, and logistical information to make your trip to the Museum more productive and fun. Want more details? You will find everything you need in our School Group Visit Planning Guide.

Reserve Your Visit

Docent-led discussions and interactive workshops must be reserved at least six weeks in advance; self-guided visits must be reserved at least two weeks in advance. Confirmation will be sent within two weeks after we receive your request. If you do not receive a message, please contact the Museum to ensure that your reservation has been confirmed.

We do seek to accommodate groups without confirmed advance reservations, but admission is not guaranteed, due to capacity and space restrictions. Groups with confirmed reservations receive free admission to the Museum.

Please note our limits on group sizes:

  • Docent-led discussions: 40 students
  • Self-guided visits: 40 students
  • Workshops: 30 students

If your group is larger than our maximum, please contact us before making a reservation to discuss options for accommodating your needs. We have creative solutions for groups of all sizes.

Reserve a Beam Virtual Tour

Reserve a Beam Virtual Tour

The Beam Virtual Tour Program allows school and long-distance groups to "visit" the Museum from anywhere in the world. Using a telepresence robot known as Beam, visitors can log into the device and drive it through exhibit spaces, allowing for an interactive and immersive experience. Beam tours are led by Museum docents or staff and last one-hour; reservation requests must be made at least four weeks in advance of a visit.

Beam Requirements:

  • Windows 7 or higher, or Mac OSX 10.7 or higher
  • A reliable Internet connection capable of 2 Mbps upload and download
  • A webcam, microphone, and speaker or headphones
  • Wired mouse and keyboard
  • * Software is not compatible with iPads or other tablets

Beam tours are available at 10AM PST on MondaysMondays through September 30, 2016. To schedule a Beam tour or to learn more about the program, email Stephanie Corrigan

All school groups in grades 3 through 12 must arrive with two adult chaperones over the age of 18 for every 15 students. The Museum may, at its discretion, postpone or cancel tours for groups that do not have adequate adult supervision.

We have learned that visits are more successful when chaperones are well prepared to supervise students, so please ensure that all chaperones familiarize themselves with our Chaperone Guidelines before arriving at the Museum.

To Apply for a Transportation Subsidy

Grants of up to $300 or the cost of one bus are available for school groups attending docent-led discussions or workshops; they are not available for self-guided visits. Subsidies are awarded on a first-come, first-served basis and must be requested when you reserve your visit. Your confirmation email will indicate whether your application has been approved. Sorry, but requests made after a visit has been scheduled cannot be honored.

Payments will be issued in the form of reimbursements to schools or districts after a visit has occurred; we cannot provide funds before a visit, nor can we pay individuals directly. To receive a reimbursement, submit the Transportation Subsidy Reimbursement Request (see link below) and all required documentation no later than 60 days after your class visit.
